A workflow is the sequence of steps used to move a piece of work from a starting point to an outcome.
A workflow can include people, decisions, tasks, approvals, messages, record updates, and rules. Some steps can be automatic, while others still need a person to review or act.
What Does a Simple Workflow Look Like?
- Something starts the process. A booking is created or a request is submitted.
- A rule is checked. The system checks the booking type, amount, priority, or another condition.
- The next action is assigned. A task may go to a staff member or an approval may go to a manager.
- The process moves forward. The system can send an update, change a record, or create another task.
- The workflow ends. The request is resolved, booking is confirmed, or another agreed result is reached.
Is a Workflow the Same as Automation?
No. The workflow is the process. Automation is the part where software performs some of the steps.
For example, a manager may still need to approve a large booking, but the system can automatically send the approval request, notify the manager, and update the booking after the decision.
First make the process clear. Automating a confusing process usually makes the confusion happen faster.
