Availability vs. Capacity

Capacity tells you how much a room, resource, service, or activity can handle. Availability tells you whether some or all of that capacity can actually be used at a specific time.

A resource can have capacity and still be unavailable. For example, a meeting room may hold 20 people but be unavailable on Tuesday because another group already booked it.

What Is Capacity?

Capacity is the amount a resource can support under the rules that apply to it.

  • A room may have a maximum number of people.
  • A class may have a maximum number of participants.
  • A parking area may have a fixed number of spaces.
  • A service may have a limit based on staff or equipment.

What Is Availability?

Availability is what can actually be booked, assigned, or used at a given time.

Availability can change because of:

  • Existing bookings.
  • Opening hours or schedules.
  • Blackout dates or maintenance.
  • Booking rules and time limits.
  • Capacity already used by other bookings.
