When a customer cancels, the booking should move through the organization's cancellation rules rather than simply disappearing.
The system may need to release availability, update billing, notify people, update related tasks, and keep the cancellation in the booking history.
Can Every Customer Cancel at Any Time?
Not necessarily. Cancellation rules can depend on the booking type, time before service, contract terms, rate plan, customer role, or other policy.
A customer may be allowed to cancel directly, may need staff approval, or may be outside the allowed cancellation window.
What Happens to the Space or Capacity?
If the booking no longer needs the resource, the capacity can become available again when the cancellation rules allow it.
That opening may then be visible to new customers or may be offered to someone on a waitlist.

Does Cancellation Automatically Mean a Refund?
No. Cancellation and refund are related but separate decisions.
A deposit may be refundable, partly refundable, or non-refundable depending on the policy. A cancellation fee may also apply. If a refund is approved, it should stay connected to the original payment and booking.
