Capacity is how much a space, resource, or service is allowed to support under the rules being used. Occupancy is how much of that capacity is currently in use or counted as occupied.
Capacity sets the limit. Occupancy shows current use against that limit.
What Is Capacity?
Capacity is the maximum or allowed amount that can be handled at a given time.
It might mean:
- 100 people in an event room.
- 20 seats in a class.
- 40 vehicles in a parking area.
- 10 appointments in a time window.
- 50 beds, rooms, units, or other resources.

What Is Occupancy?
Occupancy measures how much of the relevant supply is being used or occupied.
The exact unit matters. One business may count occupied rooms. Another may count people inside a facility. Another may use active bookings or access events to update occupancy.
A report should make that definition clear before locations or time periods are compared.
How Do Capacity and Occupancy Work Together?

| Occupancy rate | 75% when 75 occupied places are divided by a 100-person capacity. |
This formula only works when the numerator and denominator use the same unit and time period.
Is Capacity the Same as Availability?
No. Capacity is the amount that can be supported. Availability is what can still be booked or assigned for a specific time after existing bookings, closures, rules, and other restrictions are considered.
A room may have capacity for 100 people but be unavailable because it is closed for maintenance. See Availability vs. Capacity.
