A booking is a record that says a person, group, or organization plans to use a room, space, service, resource, or other bookable item under agreed details.

A booking usually connects the customer, what is being booked, the date or time, and the rules that apply. It may also connect to payments, staff work, documents, or reports when the wider process needs them.

What Information Can a Booking Hold?

  • The customer, guest, member, company, or group.
  • The room, space, service, unit, or resource being used.
  • The date, time, or length of use.
  • Quantity, capacity, or number of people when relevant.
  • Price, deposit, or payment details when relevant.
  • Rules, notes, requests, or staff actions connected to the booking.

The exact fields depend on the organization. A hotel room booking does not need the same information as a court, class, meeting room, or equipment booking.


How Does a Booking Connect to Availability?

Before a booking is accepted, the system needs to know whether the requested item can be used at that time. That can depend on availability, capacity, existing bookings, and other booking rules.
