Connecting Accounting Software

Connecting accounting software lets operational and financial records share approved information instead of making staff enter the same data twice.

Booking Ninjas can continue to manage bookings, customers, contracts, invoices, payments, and operations while an accounting platform keeps the financial records your finance team depends on.

What Information Can Be Connected?

The exact data depends on the business, but common examples include:

  • Customer or account details needed for billing.
  • Invoices and invoice line items.
  • Payments and payment status.
  • Credits, adjustments, or refunds when part of the approved flow.
  • Vendor bills or operating expenses when needed.
  • Financial categories or account mappings used by finance.

A connection should move the information finance actually needs. It does not need to copy every operational field into the accounting system.

What Must Be Decided Before Integration?

  • What moves: which records and fields are shared.
  • Which direction: Booking Ninjas to accounting, accounting to Booking Ninjas, or both.
  • Which system holds the main version: for example, where the final financial account or payment status should be trusted.
  • When updates happen: immediately, on a schedule, or after approval.
  • How records match: which IDs or rules connect the same customer, invoice, or payment across both systems.
  • What happens when a sync fails: who reviews the error and how it is corrected.

These decisions are part of the integration design, not details to leave until the end.

What Does a Simple Flow Look Like?

  1. A booking, contract, or service creates a charge in Booking Ninjas.
  2. An invoice is created or approved.
  3. Approved invoice data moves to the accounting platform.
  4. A payment or adjustment is recorded in the system responsible for that step.
  5. The payment status or financial result is shared back when the integration requires it.
  6. Finance reviews exceptions and reconciliation differences.

Integration should reduce duplicate entry, not create two competing versions of the same financial record.

Do You Have to Replace Your Accounting Software?

No. The purpose of integration is often to keep the existing finance system while connecting it to operational activity.

Booking Ninjas currently provides accounting integration options for platforms such as QuickBooks and Xero, with other connections depending on the approved system and scope.

For the basic concept, see Integration. For larger finance systems, continue to Connecting an ERP.

How Does Booking Ninjas Support Accounting Integration?

Booking Ninjas' Accounting Systems Integration connects operational records with accounting workflows for invoices, payments, receivables, expenses, vendor bills, and financial mappings.

The exact connection still depends on the accounting system's APIs, security rules, available fields, data volume, and the agreed synchronization design.
