What Is Scheduled Maintenance?

Scheduled maintenance is maintenance planned to happen at a defined time, interval, usage level, condition, or other approved trigger.

The schedule turns a maintenance need into work that can be assigned, tracked, completed, and reviewed later.

What Can Trigger Scheduled Maintenance?

  • A calendar date.
  • A repeating interval, such as every month or quarter.
  • A usage amount, such as operating hours or cycles, when that data is available.
  • A condition threshold or inspection finding.
  • A warranty, compliance, or manufacturer requirement.

The trigger should match the asset and the maintenance rule being used.

What Should the Maintenance Record Include?

  • The asset, facility, or equipment involved.
  • The work that needs to be done.
  • Scheduled or due date.
  • Assigned person, team, or service provider when known.
  • Priority and status.
  • Completion date, notes, parts, or service evidence when needed.

For assigned maintenance work, see What Is a Maintenance Work Order?.

Is Scheduled Maintenance the Same as Preventive Maintenance?

Not exactly. Preventive maintenance is done to reduce the chance of failure. Scheduled maintenance describes when planned work is set to happen.

Many preventive tasks are scheduled, but planned corrective or compliance work can also have a schedule. See Preventive vs. Corrective Maintenance.

What Happens When Scheduled Work Is Missed?

The work should remain visible as due or overdue until it is completed, rescheduled, cancelled under an approved rule, or otherwise resolved.

A maintenance schedule is useful only when missed work stays visible.

Completed and missed service events should also remain part of the asset's history. See How Equipment History Is Recorded.
