What Is a Maintenance Work Order?

A maintenance work order is the record used to organize a specific maintenance job from assignment to completion.

It tells the team what needs to be fixed or serviced, where the work belongs, who owns it, how urgent it is, and what happened when the work was completed.

What Can a Maintenance Work Order Contain?

  • A clear description of the problem or service job.
  • The room, space, building, or location involved.
  • The asset or equipment involved when known.
  • Assigned person, team, or vendor.
  • Priority, due date, or service target.
  • Notes, instructions, photos, or documents.
  • Status, completion details, and maintenance history.

Labor, parts, cost, approvals, and other fields can be added when the process needs them.

How Is It Different From a Request or Task?

RecordMain Job
RequestCaptures what someone needs or what problem was reported.
TaskAssigns one clear action to a person or team.
Maintenance work orderOrganizes the full maintenance or service job.

One request can lead to a work order, and one work order can contain several tasks. See Request vs. Task vs. Work Order.

What Does the Work Order Process Look Like?

  1. The need is identified. It may come from a request, inspection, preventive schedule, alert, or staff observation.
  2. The work order is created. The job, location, asset, priority, and other needed details are recorded.
  3. Ownership is assigned. A person, team, or vendor becomes responsible.
  4. The work is updated. Findings, notes, parts, status, or follow-up actions stay connected to the same job.
  5. The work order is completed. The result becomes part of the maintenance history.

Why Link the Work Order to the Room or Asset?

The location tells the team where to go. The asset tells the team exactly what is being serviced.

That link also makes history more useful. Managers can see repeated problems by room, building, or equipment instead of searching through free-text notes.
