How Overdue Work Is Tracked

Work becomes overdue when it passes the due date or service target used for that task, request, work order, approval, or other piece of work.

Tracking overdue work should show four things: what is late, who owns it, how late it is, and what happens next.

What Information Helps Teams Track Overdue Work?

  • Owner: who is responsible now.
  • Due date or target: when the work was expected.
  • Status: whether the work is new, in progress, blocked, waiting, completed, or in another approved stage.
  • Priority: how important or urgent the work is.
  • Age: how long the item has been open or overdue.
  • Related record: the booking, customer, room, asset, request, or process that explains why the work exists.
  • Escalation history: what follow-up has already happened.

Is Overdue the Same as High Priority?

No. Overdue describes timing. Priority describes importance or urgency.

A low-priority task can become overdue. A high-priority safety issue can be urgent even before its due time has passed.

Do not use one field to answer two different questions. Track timing and priority separately.


What Can Happen When Work Becomes Overdue?

The workflow can define follow-up actions such as:

  • Notify the assigned person.
  • Notify a supervisor or process owner.
  • Escalate the item after a defined delay.
  • Raise the visibility on a dashboard.
  • Trigger a follow-up task or approval.
  • Reassign the work when the approved rules allow it.

These actions should be configured around the real service process. Not every late task needs the same escalation.


How Should Managers Review Overdue Work?

Managers usually need both the total and the details behind it.

A dashboard might show the number of overdue tasks, overdue work by team, or aging groups. A report can then show the individual records so the manager can see ownership, reason, and next action.
