How Staff Tasks Are Assigned

Staff task assignment decides who is responsible for a piece of work.

Task assignment can be manual or rule-based. Either way, every task should have a clear owner.

What Can Be Used to Choose the Assignee?

Assignment rules can use information such as:

  • Role or department.
  • Skill or responsibility.
  • Property, building, floor, or service area.
  • Shift or working schedule when that data is part of the setup.
  • Current workload.
  • Task priority or type.
  • The booking, asset, customer, or workflow that created the task.

The best rule is the simplest rule that consistently sends the work to the right owner.

Manual vs. Automatic Assignment

MethodUseful WhenMain Risk
Manual assignmentThe work is unusual, needs judgment, or the team is small.Work can wait for a manager to notice and assign it.
Rule-based assignmentThe same type of work appears often and has clear ownership rules.Poor rules can repeatedly send work to the wrong person.

Many operations use both. Routine work can be routed automatically, while exceptions go to a manager or queue for review.

Is Assignment the Same as Scheduling?

No. Assignment answers who owns the work? Scheduling answers when should the work happen?

A task can have an owner before an exact work time is scheduled. In other cases, the assignment and schedule are created together.

What Happens if the Assignee Cannot Do the Work?

The workflow should define how ownership changes.

Depending on the operation, the task may be reassigned, returned to a queue, sent to another role, or escalated to a supervisor. The history should keep the old and new ownership so teams can see what happened.

If the task passes its due date, see How Overdue Work Is Tracked.
