A tenant is usually the person or organization responsible under a rental or lease arrangement. A resident is a person who actually lives in or occupies the property.
The same person can be both. In other cases, the tenant and resident are different people.
When Are Tenant and Resident the Same Person?
In a simple rental, one person may sign the agreement, pay the rent, live in the unit, submit maintenance requests, and receive notices. In that case, the person is both the tenant and the resident.
The system can still keep the roles clear because different workflows may depend on different responsibilities.
When Can They Be Different?
Several common situations separate the roles:
- A parent is the tenant while other family members also live in the unit.
- A company rents housing while an employee is the resident.
- Several people live together but only some are named on the rental agreement.
- A student housing account has a payer or responsible party who is different from the student resident.
Do not assume that the person who lives in the unit is always the person responsible for the lease or the bill.
Why Does the Difference Matter in Software?
Different actions may belong to different roles.
| Area | Possible Responsible Role |
|---|---|
| Lease or contract | Tenant or another approved responsible party. |
| Rent or billing | Tenant, company, parent, sponsor, or another payer. |
| Living in the unit | Resident. |
| Service requests | Tenant or resident when permissions allow. |
How Does Booking Ninjas Support Tenant Operations?
Booking Ninjas' Tenant Portal supports secure access to tenant profiles, lease information, invoices, payments, maintenance requests, documents, and communication.
Role-based access can help separate what each person is allowed to see or do. The exact tenant, resident, payer, and household model should be configured around the organization's real rules.
For the continuing history behind a person or account, see Customer Record. For portal permissions, see How Staff and Customer Access Differ.
