What Is a Guest Portal?

A guest portal is a secure online area where guests can view and manage approved parts of their relationship with the organization.

Guests can handle routine actions themselves when the organization allows it.

What Can Guests Do in a Portal?

Depending on the setup, a guest portal can allow guests to:

  • View current and past bookings.
  • See confirmations, invoices, payment details, and documents.
  • Update profile or contact information.
  • Manage communication preferences.
  • Request allowed booking changes.
  • Submit special or service requests.
  • Receive updates and messages.

The portal should show only the actions that are valid for that guest and that booking.


Is a Guest Portal the Same as a Booking Engine?

No. A booking engine helps a customer find availability and create a booking. A guest portal is mainly used after a guest has an account, booking, or ongoing relationship to manage.

The two can work together. A guest may create a booking through the booking engine and later use the portal to view or manage it.


Can a Guest Change Any Booking Detail?

No. Self-service should still follow the booking rules.

A guest may be allowed to change some details directly while another change needs staff approval or is not allowed after a deadline.

No. Guest access is separate from internal staff access.

Guests should see only the records, documents, and actions they are allowed to use. They should not see internal notes, unrelated customers, staff-only tools, or other restricted information.
