How Booking Rules Work

Booking rules are the conditions the system checks before it allows a booking action.

They can control whether something can be booked, who can book it, when it can be booked, how much can be booked, and what happens when a booking is changed or canceled.

What Can a Booking Rule Control?

  • Availability: whether the room, service, person, or resource is open at that time.
  • Capacity: whether enough space or quantity remains.
  • Advance notice: how early or late a booking can be made.
  • Blackout dates: dates or times when booking is not allowed.
  • Duration: minimum, maximum, or allowed booking lengths.
  • User rules: whether a member, staff user, customer, or another role can use a certain option.
  • Change and cancellation rules: when an existing booking can be edited or canceled.

What Happens When Someone Tries to Book?

  1. The customer or staff user chooses what they want. This may be a room, service, time, resource, or other bookable item.
  2. The system checks availability. It looks at schedules and existing bookings.
  3. The system checks the booking rules. It tests capacity, notice periods, blackout dates, permissions, or other limits.
  4. The booking is allowed, blocked, or sent into another process. Some organizations may require approval instead of instant confirmation.

Are Booking Rules the Same as Workflow Automation?

No. A booking rule mainly decides what is allowed or required. A workflow controls the steps that happen around the booking.

For example, a rule may say a large booking needs approval. The workflow can then send the approval to a manager, notify the requester, and update the booking after the decision.
