Connecting an existing CRM lets marketing and sales information move into Booking Ninjas without making staff re-enter the same lead, contact, company, or customer data by hand.

The goal is not to copy every CRM field into the operations platform. The goal is to pass the information each team needs while keeping the customer relationship clear across systems.

What Information Can Be Shared?

Common CRM integration data can include:

  • Leads or inquiries.
  • Contacts and company records.
  • Basic customer profile information.
  • Campaign or source information when needed for reporting.
  • Sales status or handoff information.
  • Selected booking, membership, lease, or customer-status updates when the CRM team needs them.

The exact list should be based on real business questions. If marketing never uses a field, there may be no reason to send it back to the CRM.


What Does a Simple CRM-to-Operations Flow Look Like?

  1. A lead enters the CRM from a form, campaign, referral, or sales activity.
  2. The lead becomes ready for an operational process.
  3. Approved contact, company, and handoff information moves into Booking Ninjas.
  4. Booking Ninjas manages the operational relationship, such as bookings, services, memberships, billing, or customer workflows.
  5. Selected results can move back to the CRM if marketing or sales needs them.

This keeps the marketing and sales process connected to what happens after the customer begins using the service.


How Do You Avoid Duplicate Customer Records?

The integration needs clear matching rules. These can use an external ID, CRM ID, email address, account relationship, or another approved identifier.

It also needs a rule for what happens when the same person already exists in both systems. Without matching and duplicate rules, an integration can create more copies instead of reducing them.

What If the Existing CRM Is Salesforce?

Booking Ninjas also runs on Salesforce, so the situation can be different from connecting a completely separate CRM platform.

The team still needs to review the existing Salesforce setup, data model, permissions, installed applications, integrations, and governance before deciding how Booking Ninjas should fit. Salesforce-native does not mean every existing org can be changed without planning.

The current Booking Ninjas CRM integration page includes HubSpot as an example, with lead and contact synchronization, campaign alignment, follow-up automation, field mapping, validation, and duplicate management.
